Multi-Location Inventory Management in Shopify: Complete Setup Guide

Running a Shopify store with multiple warehouses, retail locations, or fulfillment centers? Here's how to configure multi-location inventory receiving, prevent overselling, and keep stock levels accurate across every location.

Why Multi-Location Inventory Matters

As your store scales, a single-warehouse setup becomes a bottleneck. Multi-location inventory allows you to:

  • Fulfill orders from the nearest warehouse — faster shipping, lower costs
  • Prevent overselling — accurate stock per location, not just a global number
  • Specialize locations — one warehouse for domestic orders, another for international
  • Scale operations — add new warehouses without disrupting existing ones

Step 1: Configure Locations in Shopify

Go to Settings → Locations in your Shopify admin. Add each physical location (warehouse, retail store, fulfillment center). For each location, configure:

  • Location name — "Warehouse A", "Retail Store NYC", etc.
  • Address — for shipping calculations
  • Fulfillment priority — which location fulfills first
  • Inventory tracking — enable per-location stock tracking

Step 2: Assign Inventory to Locations

For each product variant, set the stock quantity at each location. You can do this manually through the Shopify admin, or use a CSV import for bulk updates.

Key rules:

  • Total inventory across all locations should equal your actual combined stock
  • Set accurate per-location quantities — don't just duplicate global numbers
  • Regularly audit physical counts against system counts

Step 3: Configure Fulfillment Rules

Shopify lets you set fulfillment priority — which location fulfills an order first. Common strategies:

  • Nearest to customer — minimize shipping time and cost
  • Lowest stock first — balance inventory across locations
  • Designated primary — always fulfill from the main warehouse unless it's out of stock

Step 4: Set Up Location-Specific PO Receiving

This is where most multi-location setups break down. When a supplier delivers an order, you need to receive inventory at the specific location where the goods arrive — not a generic global inventory.

PODesk supports location-specific receiving. When you receive a purchase order, you select the destination location, and inventory updates at that exact location. This keeps your per-location stock counts accurate.

Step 5: Monitor Stock Across Locations

Use a dashboard that shows stock levels at each location side by side. Look for:

  • Imbalanced stock — one location with 500 units while another has 5
  • Low stock at high-velocity locations — prioritize reorders to those locations
  • Dead stock at slow locations — consider transferring to faster locations

Common Multi-Location Mistakes

  • Not updating per-location stock after receiving — PO received but inventory not allocated to the right location
  • Using a single stock count for all locations — causes overselling at some locations and overstock at others
  • Ignoring transfer inventory — stock moving between locations needs to be tracked
  • No location-specific reorder points — each location has different sales velocity and needs its own reorder calculations

Using PODesk for Multi-Location Receiving

PODesk integrates with Shopify's multi-location system. When you receive a PO, you choose the destination location, and PODesk:

  • Updates stock at that specific location
  • Syncs the count back to Shopify in real time
  • Tracks remaining pending quantities per location
  • Supports partial receiving at individual locations
